OFFICER RESPONSIBILITIES & REQUIREMENTS

The following list of responsibilities for each position is provided as a guideline.

President: preside over club meetings, be familiar with all contents of the Sport Club Handbook and always follow its policies, maintain all club records, remain in consistent communication with the Sport Club Graduate Assistant.

Vice-President: assist the President; preside in the absence of the President.

Treasurer: maintain all financial records; ensure club monies are used properly.

Secretary: record minutes from all club meetings, assist with recording participation.

Conducting the business of a sport club is almost always too large for one individual to do.  A good President will learn to delegate some of his/her general responsibilities to other officers.  It is expected of one of the three officers to perform the following duties:

  1. Submit all required forms on time and fully completed.
    1. Club Roster – A current roster must be on file in the IMRS office at all times. 
    2. Monthly Participation & Activity Report – Must be completed on or before the last day of every month.
    3. Participant Liability Waiver – Turned into the IMRS office by noon of the next practice day.
    4. Yearly Budget Request – First draft should be created and turned in by March 15 for the following school year. 
    5. Facility Reservations – Must be submitted at least 2 business days before event.
    6. Travel Request Form – Ten (10) business days before trip departure.
    7. Travel Roster – Three (3) business days before trip departure.
    8. Purchase Requests – Submitted 3-4 weeks before purchase is needed

  2. Attend the scheduled advising meetings with the Sport Club Staff.

  3. Serve as the liaison between the club and the IMRS office.

  4. Monitor all sport club events, assuring that all policies and procedures are being followed.

  5. Obtain a liability waiver from each member before they are permitted to participate in club practices or events.

  6. Report any injury, which occurs during club practice or any on/off campus event to the IMRS office within 24 hours (or immediately upon return to campus) by completing the Accident Report Form.  Note: the Associate Director of Intramural/Recreational Sports or the Sport Club Graduate Assistant should be contacted immediately if any serious injuries requiring medical attention occur.

  7. Develop and maintain an accurate membership roster.

  8. Ensure equipment is returned on time.  Only officers may check out equipment.
