Rules and Regulations

RULES AND REGULATIONS

  1. All membership and locker transactions are conducted in the Intramural/Recreational Sports Office located in HPER 225.

  2. Depending on the type of membership or guest situation, members must present one of the following identification items to gain admittance into the HPER Building:
    1. U of A ID
    2. HPER Membership Card
    3. Picture ID and a HPER Guest Pass
    4. Picture ID, HPER Alumni Membership Card and AAA Membership Card

  3. All users of the HPER Building are expected to:
    1. Display appropriate behavior
    2. Utilize appropriate language
    3. Follow HPER Building policies and procedures
    4. Users are expected to be aware of University of Arkansas behavior policies. These policies can be found in the Faculty Handbook, Staff Handbook, and various Student Handbooks and publications.
    5. The Intramural/Recreational Sports Program Staff have the authority to terminate an activity and remove individuals and/or teams from the HPER Building for violation of building, program, and U of A policies.

  4. Only court shoes are allowed in activity areas with wooden floors.

  5. The building must be vacated by the scheduled closing time.

  6. Racquetball and Wallyball Reservation System
    1. Same day and advanced reservations: Individuals may reserve courts for the same day or one day in advance by either telephone at 479.575.6382 or in person during open hours. Reservations are made at the Service Center in HPER 205.
    2. All racquetball participants must report to the Service Center prior to utilizing the courts to obtain their court assignment.
    3. Racquets and balls are available for check-out at no charge by presenting a valid U of A ID or HPER Membership card. Lost/Damaged Equipment Charges may be applied.

  7. Eligibility Policies for Building Users
    1. Students
      1. All undergraduate and graduate students regularly enrolled at the University of Arkansas, Fayetteville are eligible for HPER Building use. They must possess a U of A ID.

      2. Individuals not recognized as a duly enrolled student can purchase a HPER Building membership ($20.00) if the following criteria are met:
        1. The individual is enrolled in academic courses that are conducted on the Fayetteville campus that does not require a HPER Building fee.
        2. The courses are conducted and sponsored by the University of Arkansas.
        3. The submission of a dated, typewritten memorandum of confirmation on U of A stationery from the sponsoring college or department. The department head, director, or dean must sign the memorandum.
        4. The individual was duly enrolled during the spring semester and is pre- registered for the fall semester.
        5. Memberships are purchased at the Intramural/Recreational Sports Office in HPER 225.

      3. Non- U of A students participating in internship programs or special academic programs may purchase a HPER Building membership if the following criteria are met:
        1. The internship is sponsored by one of the U of A system schools.
        2. The internship or academic program is hosted by a U of A college or department or is an officially recognized internship or educational training site.
        3. The submission of a dated, typewritten memorandum of confirmation on U of A stationery from the sponsoring college or department. The department head, director, or dean must sign the memorandum.
        4. The length of the membership will be dictated by the length of the internship or academic commitment but shall not exceed one semester.

    2. Faculty/Staff
      1. All appointed faculty/staff who have purchased a HPER Building Membership are eligible to use the HPER Building. All faculty/staff in non-appointed positions are eligible for membership if they are employed at least 20 hours per week (staff) or teach at least six (6) semester hours during the academic year.

      2. Faculty/staff members who are enrolled in academic courses are not eligible to purchase a student membership.

      3. Faculty/staff members temporarily employed by the U of A may purchase a HPER Building recreation pass upon presentation of a signed and dated typewritten memorandum of confirmation on U of A stationery from the department chairperson or college dean. The memorandum must contain the following information:
        1. period of employment
        2. number of work hours per week- for staff
        3. number of course hours taught per semester- for faculty
        4. To qualify for faculty/staff status, an individual must be employed for at least 20 hours per week during the period of employment or teach at least a six (6) semester hours during the academic year.

      4. Faculty/staff members wishing to rent a locker must do so according to the type of membership purchased. Examples are: an annual membership requires an annual locker, a semester locker requires a semester locker, and a spring/summer membership requires a spring/summer locker.

      5. Upon the halfway point (start of the second eight weeks) of the Fall and Spring semesters, faculty/staff are eligible to purchase a prorated membership for the remainder of the membership period. In order to obtain a membership at a prorated rate during the summer term, the purchase must be made on or after July 1st of the corresponding year. Purchase price is 50% of the full membership cost.

    3. Family Members
      1. Faculty and staff members who have purchased a HPER Building membership are eligible to purchase memberships for spouses/parntners and dependents under the age of 22. A family membership card will be issued to each family member after payment of the fee. A replacement charge of $5.00 will be assessed for each lost card. Only two (2) replacement cards will be issued per year.

      2. Students who are members of the HPER Building are eligible to purchase memberships for spouses/partners and dependents under the age of 22.  IMRS staff reserves the right to require identification to verfiy age of dependents.  Student spouses wishing to purchase a family membership must present the student’s U of A ID. A student family membership card will be issued to each family member after payment of the fee. A replacement charge of $5.00 will be assessed for each lost card.  Only two (2) replacement cards will be issued per year.

      3. Alumni members who have purchased a HPER Building membership are eligible to purchase memberships for spouses/parntners and dependents under the age of 22. A family membership card will be issued to each family member after payment of the fee. A replacement charge of $5.00 will be assessed for each lost card. Only two (2) replacement cards will be issued per year.

      4. Senior citizen members are permitted to purchase a family membership for $18.00 per semester.

      5. Students and/or student family members can only rent lockers on a semester basis.

      6. Fitness For Fun members cannot purchase a family membership; however, a spouse may purchase an individual membership under the appropriate membership category.

      7. Dependents are those persons under the age of 22 who reside with the faculty, staff, alumni, and/or student member and who rely on the member for their sustenance.  IMRS staff reserves the right to require identification to verfiy age of dependents. 

      8. Spouses are those persons who are recognized by the State of Arkansas as being legally married.

      9. Partners are those persons who meet the following conditions:
        • Sole domestic partner and intend to remain so indefinitely; jointly responsible for each other.
        • Jointly responsible for each other's common welfare, share financial obligations, and share primary residence.  Joint responsbility may be demonstrated by the existence of two or more of the following: a joint real estate mortgage, lease or deed; current beneficiary designation naming the domestic partner as a beneficiary of life insurance, retirement plan, or a will; joint ownership of a motor vehicle; joint checking and/or savings account; joint credit account.
        • Not married to anyone and are at least eighteen (18) years of age and mentally competent to consent to contact.
        • Not related by blood to a degree of closeness that would prohibit marriage in the state of Arkansas.
        A completed domestic partner affidavit may be required to purchase a membership.

      10. Children under the age of 15 must be accompanied by an adult HPER Building member when entering the building and must remain with the adult in the activity area of participation. An adult is any member who is 18 years old or older or a college student. Children under the age of 12 are not permitted in the Fitness Center.

      11. Children, four (4) years of age and older may not enter the locker room of the opposite sex. When available, Service Center attendants will accompany children to the appropriate locker room.

      12. Faculty/staff, students, and alumni who are members of the HPER Building are eligible to purchase guardian passes for temporary guardians of their dependents. A non-family member who is 18 years or older, is not a HPER Building member, and is acting as a guardian of a HPER Building member’s dependent while in the HPER Building must be approved by the parents of the child. The HPER Building member must purchase a guardian pass for the guardian. The guardian pass will be valid for a stated time period not to exceed one semester and is only valid when the guardian is accompanying the HPER Building member’s dependent.

      13. Upon the halfway point (start of the second eight weeks) of the Fall and Spring semesters, alumni/faculty/staff/students are eligible to purchase a prorated family membership for the remainder of the membership period. In order to obtain a membership at a prorated rate during the summer term, the purchase must be made on or after July 1st of the corresponding year.     4. Alumni Association Members
      1. Current members of the Arkansas Alumni Association (AAA) are eligible to purchase the following types of HPER Building memberships:
        1. Full Membership - entitles the AAA member to full access to the HPER Building during all open hours. Full memberships can be purchased on a semester or annual basis. Alumni can also purchase a family membership under this plan.
        2. Day Pass - A one-day or 10-day pass is available to AAA members. The passes are good for the entire day. The member must present a current Alumni Association card and a picture ID to enter. A lock and towel is included with the Day Pass.

      2. AAA members wishing to rent a locker must do so according to the type of membership purchased. Examples are: an annual membership requires an annual locker, a semester locker requires a semester locker, and a spring/summer membership requires a spring/summer locker.

      3.     5. University Retirees
      1. All faculty/staff members and their spouses/partners who have retired from the University of Arkansas-Fayetteville will be given a complimentary membership upon request. The retired faculty/staff member must present a U of A ID to obtain the membership. Retirees must pay the locker rental and the towel fee if they desire these services.

      2. A retiree is any individual who has officially retired and is currently included on the retirement list provided by the Human Resources Department.

    6. Senior Citizens
      1. Senior citizens who are currently enrolled in academic courses are eligible to purchase a HPER membership for $20.00 per semester. Senior citizens can only purchase a membership on a semester basis.
      2. Senior citizens wishing to rent a locker must do so on a semester basis.
      3. Senior citizen members are permitted to purchase a family membership for $18.00 per semester.

  8. Guests
    1. Only HPER Building members are permitted to bring guests. Members and guests must abide by the following rules:
      1. Three (3) guests are allowed per person per visit.
      2. Members are responsible for their guests and must remain with them while using the HPER Building.
      3. A $5.00 admission fee is required for each guest. This fee entitles the guest access to the HPER Building for the entire day. Locker and towel service is available on a daily basis for $1.00 each.
      4. Members may purchase guest passes in advance. A ten-time guest pass is available.
      5. The guest pass receipt must be submitted to the Security Assistant at the entrance immediately after purchase.

    2. Fitness For Fun participants may not bring guests.

    3. A dependent under the age of 18 cannot sponsor a guest under the age of 15.

    4. Official visitors and/or guests of the University of Arkansas can purchase a guest pass for $5.00 per person. This pass entitles the guest access to the building for the entire day. Locker and towel service is available on a daily basis for $1.00. Official visitors are individuals who have been invited to the University by an entity of the University to perform a service or function. Official guests of the University are individuals who do not have a current relationship to the University but wish utilize the HPER Building facilities and the use has been approved by the Director or Associate Director of Intramural/Recreational Sports.

    5. HPER Building members may purchase a house guest pass for individuals who are temporarily residing with the member. The maximum membership period is four (4) weeks per semester. Renewals are not permitted until the next semester.

  9. Membership Terms
    1. Semester terms are posted on the HPER INFO sheet. The ending date is subject to change.

    2. All memberships include periods that the HPER Building or related facilities are closed for holidays, athletic events, Intramural/Recreational Sports events, maintenance, renovation, and other times requiring closing of the building and/or specific facilities.

  10. Injuries/Accidents
    1. Participation in all activities in the HPER Building, on the Intramural Fields, or in any program sponsored by the College of Education and Health Professions or IMRS Department, regardless of location, is voluntary on behalf of all participants. All participants acknowledge and agree that the University of Arkansas does not provide insurance for any of its activities and shall not be liable for any injuries that occur at any of these locations or in any of its programs.

  11. Refunds 
    1. Refunds may be requested for all or portions of a facility purchase.  All refunds will require a $10.00 administrative charge and the approval of the Intramural/Recreational Sports Associate Director for Facilities.

      Refunds requested by 4:00 pm of the third (3rd) business day following the transaction will be considered for the full amount minus the $10.00 administrative fee.

      Refunds or cancellations due to extenuating circumstances may be issued after the third (3rd) business day for a prorated amount.  All refunds will be reviewed and approved by the Associate Director of Facilities.

      The following extenuating circumstances will be considered for refunds or cancellations after the 3rd business day.

      • Injury/Illness (documentation may be required)
      • Exit from the University that prohibits active participation for the remaining period of the membership
      • Activity area closure or resources unavailable
      • Employee error

       Approved refunds may take several weeks to process.
